Data cleanup & document preparation

Get a cleaner file you can actually use.

Duplicate contacts, mixed date formats, and information buried in documents can stall the next job. We can scope a cleanup that preserves the original and shows you exactly what changed.

What needs cleaning up?

01

Spreadsheets and contact lists

Agree on column names, date formats, categories, and required fields in a CSV or spreadsheet. Flag blanks and conflicting values for review.

02

Information inside documents

Scope extraction from documents or PDFs into a consistent table. Scanned pages and unclear text need additional checking against the source.

03

Files moving to a new system

Map source fields to destination fields, test a small import, and compare record counts and key values before an approved migration.

Example: why two names stay separate

“J. Smith” and “Jamie Smith” may be the same customer, or two different people. They go into a review list with the available identifying fields. An approved rule can trim extra spaces, but it cannot establish that these records belong to the same person.

Illustrative example, not a customer result.

Agree the deliverable first

The deliverable is more than a new file

Data cleanup is not a guarantee of anonymization or secure redaction. Sensitive records, access, storage, retention, and deletion must be agreed before any files are transferred.

  1. A cleaned copy

Agreed transformations applied to a copy, with the original left intact. Missing facts stay missing until verified.

  2. A review list

Possible duplicates, unreadable values, and conflicts that require a business decision.

  3. A change log

The rules used, affected fields, and verification results. Live imports or deletions are a separate approval.

Where we’re taking this

A file-review workspace: upload an allowed file, choose cleanup rules, inspect proposed changes, and download an approved copy. Uploads are not available yet; secure handling must be tested before this opens.

Tell us about the file, not the private contents.

Start with the file type, approximate size, the problem, and where the result needs to go. Please do not attach customer records to the first email.

Do not email passwords, credentials, or private customer information. Scope, timing, and cost are agreed before any work begins.
