Small Business Toolkit

Find the tool for the task you keep putting off.

Start with the job that needs to get easier. These are options to consider, with a practical reason to use each one and a few things to check before signing up.

Start with the job in front of you.

“Booking takes too many messages.”

Define one appointment type, your available hours, and what you need to know before the meeting. Then compare booking tools below.

“I lose track after sending a quote.”

Start with a list of open quotes, a responsible person, and the next follow-up date. Consider a CRM when that list is hard to manage.

“Our files are everywhere.”

Choose a business-owned workspace and a clear folder structure. Check access and exports before moving documents.

Choose by the job

Six places to start.

Booking

Calendly

Make it easier to choose a time. A useful starting point for consultations and other appointments when email scheduling keeps going back and forth.

Cost check
A single booking type can be enough to start. Check paid-plan requirements for reminders, multiple calendars, and team scheduling.
Before you commit
Use an account you control, and check what information appears on the public booking page.

Customer follow-up

HubSpot CRM

Keep track of the next conversation. Consider a customer relationship manager when names, notes, and next steps are scattered across inboxes and spreadsheets.

Cost check
Free CRM tools are available; user, contact, automation, and reporting limits matter as you grow. Review upgrade costs before importing everything.
Before you commit
Start with a small approved contact list. Decide who can view, export, and update customer information.

Invoices & records

Wave

Put invoices and bookkeeping in one place. An option for small businesses that want a dedicated place for invoices and basic financial records.

Cost check
Starter and paid options differ. Payment processing and other services can add fees; confirm availability for your business and location.
Before you commit
Keep ownership of the business account and review exports and access with your bookkeeper before committing.

Everyday marketing

Canva

Keep everyday visuals consistent. Useful for creating social posts, flyers, and other marketing materials from a reusable visual style.

Cost check
Check which templates, brand features, and assets need a paid plan. A subscription is not required just because you have a website.
Before you commit
Review image and template licenses. Keep final files and editable designs in a business-owned workspace.

Email & documents

Google Workspace

Give business files a clear home. Consider it when you need domain-based email, shared documents, calendars, and files under one business account.

Cost check
This is a paid service. Check per-user pricing, storage, and commitment terms. Domain registration is separate.
Before you commit
Name the business owner as an administrator, enable account recovery, and plan exports and offboarding.

Account security

Bitwarden

Share access without scattered passwords. A business password manager is worth considering when a team needs organized access to shared logins.

Cost check
Business plans add team administration and sharing controls. Compare the plan with the number of people who actually need access.
Before you commit
Assign an accountable owner, set up recovery and multi-factor authentication, and remove access when someone leaves.

Not sure what fits?

Tell us the task, not the software.

“I keep missing follow-ups” is a better starting point than “I need five new apps.” We can discuss the problem, what you already use, and whether setup help would be worthwhile. Any paid work is scoped separately.

A shortlist based on your business.

A future guided selector would use your task, team size, budget, and existing tools to explain a small set of options. It would not sign you up or connect accounts. For now, use the comparison links above or ask SaaR for help.
